Terms & Conditions

Please take time to read the terms and conditions of Musabe Tourism Africa’s services. Confirming a safari with us assumes that you have read, fully understood, and accepted the terms and conditions described below.

1. BOOKINGS

• 1.1 Musabe Tourism Africa arranges transportation, accommodation, restaurant meals, excursions, and other services in collaboration with independent suppliers.
• 1.2 All itinerary information is accurate to the best of our knowledge. We are not liable for third-party modifications or typing errors.
• 1.3 To reserve flights and gorilla permits, we require full names as per passport, nationality, and passport number.
• 1.4 Clients must inform us of special requests such as medical needs, dietary preferences, or disabilities prior to confirmation. We will accommodate requests where possible.
• 1.5 All packages are subject to availability until confirmed. Early booking is advised due to limited space at some lodges and hotels.
• 1.6 Reservation amendments are possible where practicable and may incur additional charges.
• 1.7 We reserve the right to adjust tours or services due to unforeseen circumstances and will communicate changes promptly.

2. PRICES

• 2.1 Prices include accommodation, meals as indicated, sightseeing, park and ranger fees, transfers, ground transport, English-speaking guides, and bottled water in the vehicle.
• 2.2 Not included: international/domestic airfares, visas, additional meals/drinks, gratuities, laundry, travel insurance, and personal expenses.
• 2.3 Quoted prices may change without notice until confirmed in writing.
• 2.4 We reserve the right to adjust prices due to currency fluctuations or cost increases, though we will minimize such changes.

3. EXECUTION OF THE TOUR

• 3.1 Wildlife sightings cannot be guaranteed. Caution must be taken and guide instructions followed.
• 3.2 Gorilla/chimpanzee permits ensure tracking access, not visibility.
• 3.3 Accommodation is based on double/twin occupancy with private bathrooms when possible. Single rooms are subject to availability and extra charges.
• 3.4 We may substitute equivalent or superior accommodation when necessary.
• 3.5 Vehicles are selected based on group size and route. We are not liable for road-related issues.
• 3.6 Only our experienced English-speaking guides drive our vehicles; their decisions are final.
• 3.7 We may alter itineraries due to weather, road, park, or hotel issues, with suitable alternatives arranged.
• 3.8 We may use subcontractors for all or part of the tour services.
• 3.9 We reserve the right to remove participants due to misconduct without refund.

4. PAYMENT

• 4.1 A 30% deposit is required to confirm bookings. Gorilla permits must be paid in full upfront.
• 4.2 Balance is due 42 days prior to departure unless otherwise agreed.
• 4.3 Bookings made within 42 days must be paid in full immediately.
• 4.4 Non-payment may result in cancellation.
• 4.5 We accept VISA credit card, bank transfer, or cash. Credit card payments incur a 5% service charge and must be completed 2 months prior. Traveller’s cheques are not accepted.
• 4.6 International transaction fees are the responsibility of the client.

5. CANCELLATIONS AND REFUNDS

• 5.1 Cancellations must be in writing. Effective date is when received.
• 5.2 Cancellation charges:
  • 60+ days: 10%
  • 59–32 days: 25%
  • 31–8 days: 50%
  • 7–3 days: 75%
  • 48 hours or less: 100%
• 5.3 Gorilla permits and air tickets are non-refundable.
• 5.4 No refunds for unused services, late arrivals, or no-shows.

6. COMPLAINTS

• 6.1 We strive to exceed expectations. Feedback is welcome.
• 6.2 Complaints must be reported immediately to our representative and service provider. If unresolved, a written complaint must be submitted within 30 days of tour completion.
• 6.3 Complaints not reported per procedure will not be accepted.

7. LIABILITY

• 7.1 We do our best to ensure efficient service but are not liable for supplier errors or omissions.
• 7.2 We accept no liability for injury, loss, or damage to persons or property.
• 7.3 We are not responsible for damage/loss of personal items.
• 7.4 We are not liable for force majeure events, including flight delays, government actions, terrorism, natural disasters, etc.
• 7.5 Travel agencies must ensure clients have valid passports, visas, permits, and health documents.
• 7.6 Clients must take health and safety precautions, including medical advice before travel.
• 7.7 Comprehensive travel insurance is strongly recommended. Local emergency evacuation is available during safaris.
• 7.8 Liability is governed by local law and subject to local jurisdiction.
